Epic Clinical Project Manager
*This is a hybrid position with 1 week/month onsite

Description:

  • The client requires the services of an EXPERT Epic Clinical project manager to manage the planning and implementation of an EHR implementation project for the Division of State Operated Healthcare Facilities and transition from the legacy and siloed clinical applications.
  • This project management role will work with other EHR project managers and executive leadership team multiple internal and external stakeholders and selected vendors to analyze plan and implement the clinical components required for an Epic EHR system.
  • This position will be responsible for working with senior-level business executives IT management and personnel business program resources and vendor staff to define and execute requirements and manage stakeholder expectations.
  • This position will manage the day-to-day activities for the assigned portion of the project and complete all input into overall EHR program reporting and the State’s Project Portfolio Tool MS Project Server as needed.

  • Setting clear expectations for team members including defining what they should do at each phase of the project.
  • Working closely with the EHR Program Director and other project managers/team managers to coordinate activities.
  • Ensuring that the business community is engaged in the project.
  • Advising and coaching team members by providing guidance on project issues key success factors of the project and lessons learned.
  • Sharing with team members the positive effects of innovation and system capabilities.
  • Reinforcing the importance of the project together with the EHR program executives and the Program Director and providing consistent communication to the project team
  • Organizing resources within the organization
  • Motivating and showing appreciation for the team
  • Appropriately matching team member skills to team responsibilities
  • Managing the project from an organizational perspective while attending to detailed tasks
  • Assisting as a support contact for revenue cycle.

  • Guiding workflow design building and testing the system and analyzing other technical issues associated with Epic software.
  • Serving as a liaison between organizational needs and Epic implementation staff
  • Maintaining regular communication with Epic representatives including participating in weekly project team meetings
  • Working with Epic representatives the business community and end users to ensure the system meets the organization’s business needs in regard to the project deliverables and timeline.
  • Developing an understanding of operational needs to set the direction for the organization’s workflows.
  • Participating in training and working with end users.
  • Reporting and reviewing the status of projects and issues on an ongoing basis with leadership.
  • Holding weekly communications with team members to discuss the status of deliverables shared issues end-user concerns budget and upcoming milestones.
  • Developing and maintaining all required State CIO and the clients PMO project documentation in coordination with other EHR PMO PM resources

Required Skills/Knowledge/Experience:

  • Certified by Epic in at least one Clinical Inpatient or Ambulatory application., Required
  • Experience working on IT projects to deliver and/or enhance Electronic Health Record clinical applications., Required 5 Years
  • Experience working on clinical healthcare information technology projects, Required 5 Years
  • Ability to create simple to complex project plans, timelines and work breakdown structures using project management tools (Microsoft Project), Required 7 Years
  • Very strong work ethic and ability to work at a fast pace to meet aggressive mandated timelines, Required 7 Years

Job Summary:
As a Scheduling Coordinator at Astyra, you will play a crucial role in our business operations by ensuring timely assessments for Medicaid beneficiaries. You will work directly with beneficiaries, providers, and assessors to meet required assessment turnaround times and address customer needs related to scheduling.
This is a full-time hybrid role, requiring 4 days of remote work and 1 day onsite in Cary, NC, after completing the onsite new hire training.

Job Responsibilities:

  • Utilize automated systems to schedule assessments for completion by Registered Nurses for both in-home and facility settings, in line with contracted metrics and deliverables.
  • Ensure accurate and timely documentation of all interactions during the scheduling process within both the states and proprietary systems.
  • Initiate outbound communication with beneficiaries and providers to efficiently schedule all assessments for completion and ensure routing efficiency.
  • Respond to inquiries and requests regarding assessments, scheduling conflicts, and complaints, providing prompt and effective resolutions.

Required Qualifications/Experience:

  • High school diploma or GED equivalent.
  • Minimum 2-3 years of customer service experience with outbound calling.
  • Minimum 1 year of scheduling experience.
  • Minimum 2 years of experience within the healthcare industry. 
  • Proven ability to multitask and prioritize tasks effectively, even with variable and conflicting deadlines.
  • Excellent communication skills, both written and verbal, along with strong interpersonal, organizational, and time management abilities.
  • Strong computer skills, including proficiency in Microsoft Office programs and working with multiple systems.
